These pages provide an introduction to the library services available to university staff on the Medway campus, including:

  • how to join the library and open a personal library account and what to do if your account has expired or you have lost your library card;
  • how your library account works and general library information;
  • information about your key library contacts and how we can support your teaching and research; and
  • information about our video-conferencing facilities that are available for your use.

Library membership

Membership is open to:

  • all academic staff with teaching responsibilities at the Universities at Medway (UaM); and
  • all UaM support staff.

Library membership is not an automatic process – you will need to register with us to use the Drill Hall Library (the Drill Hall) facilities.

University of Greenwich (UoG) staff

How to join the library

UoG staff at Medway will need to register to use the Drill Hall’s facilities. This can be done online or in person at the welcome desk.

You will need your UoG ID card to open a library account. If you do not have one, you should go to the Student Centre in the Blake building to get a card before registering for membership.

Once registered, your UoG ID card will also be your library card. You will need to bring this card with you whenever you visit the Drill Hall.

You will also have the option to book a library induction while registering.

Expired ID cards

If your card is out-of-date, please go to the Student Centre to get a replacement; the Drill Hall welcome desk will then be able to update your account.

Expired library account

Your library account expiry date will be the same as that on your UoG ID card. If your account has expired but your ID card is still in date, please visit the welcome desk to have your account updated. If your ID card is out-of-date the Student Centre will be able to give you a replacement, which you should take to the Drill Hall welcome desk to update your account.

Lost staff ID cards

The Student Centre will be able to organise a replacement card.

University of Kent (UoK) staff

How to join the library

UoK staff at Medway will need to register for a staff library account in order to use the Drill Hall’s facilities. You can register online or in person at the welcome desk.

To complete the registration process you will need your Kent One ID card. If you do not have a Kent One card please get one from the Medway Building before attempting the registration process.

Once registered your Kent One card will also be your library card. You will need this card to undertake any transactions at the library.

As part of the registration process you also have the option to book a library induction.

Expired library account

Please bring your Kent One card to the welcome desk staff who can arrange for your account to be updated. Please note that this may take up to 48 hours and we will e-mail you when your account has been updated.

Lost staff ID cards

If you have lost your Kent One card, please go to the Medway Building to get a replacement.

Canterbury Christ Church University (CCCU) staff

How to join the library

CCCU staff at Medway will need to register for a staff library account to use the Drill Hall’s facilities. You can register online or in person at the welcome desk.

To complete the registration process you will need your CCCU Smartcard. If you do not have a Smartcard please apply for one online before attempting the registration process.

Once registered your Smartcard will also be your library card. You will need this card to undertake any transactions at the library.

As part of the registration process you also have the option to book a library induction.

Expired library account

Bring your Smartcard to the welcome desk where staff will be able to update your account. Please note that this may take up to 48 hours and we will e-mail you when your account has been updated.

Lost staff ID cards

If you have lost your Smartcard, please see your home website for reporting arrangements.

Mid Kent College (MKC) staff

How to join the library

MKC staff at Medway will need to register for a staff library account to use the Drill Hall’s facilities. You can register online or in person at the welcome desk.

To complete the registration process you will need your MKC ID card. If you do not have one please ask at your home institution for details on how to get one before attempting the registration process.

Once registered with us you will receive a UaM library card. You will need this card to undertake any transactions at the library.

As part of the registration process you also have the option to book a library induction.

Expired library card

If your library card is out-of-date please bring it to the welcome desk along with your MKC ID card and a passport-sized photograph. Please note that it may take up to 48 hours to issue a new card and we will e-mail you when it is ready for collection.

Expired library account

Your library account expiry date will be the same as your UaM library card; follow the instructions above for expired library card.

Lost staff ID cards

If you have lost your MKC ID card, refer to your home institution for a replacement.

This section provides an overview of general information about the library, your library account and the services we offer to support your teaching and research.

Accessing the library

Once you have joined the library you will need your staff ID or UaM library card (depending on which university you are employed by) to obtain access to the library and to borrow items.

Our opening hours change periodically throughout the year. Check our webpage for full details.

Your library account - what does it include?

As a member of staff you are entitled to borrow up to 16 items.

Loan periods depend on the type of book/item borrowed: ordinary loans are for four weeks; 7-day loans are for seven days; reference material and periodicals are not available to borrow.

My account

You can check your account online using the My Library Account link. From our homepage select Search the Catalogue and then select My Library Account at the top of the screen. Enter your borrower number, which you can find on your library card, and click on login.

Our catalogue

All items held, with the exception of newspapers, are included on the UaM library catalogue, which can be accessed 24 hours a day. The library uses the Dewey Decimal Classification system.

You can limit the catalogue by selecting Medway Campus, under the Library Location tab on the left, to display only items held in the Drill Hall.

You can also reserve items, including books from other sites (books showing a location of Avery Hill or Maritime Greenwich libraries) by clicking on the Reserve this item icon below the book details and following the prompts. Items from other sites will be sent to the Drill Hall for you to collect and we will e-mail you when they are ready to collect (normally within two working days). Journal articles from paper publications held in the Avery Hill and Maritime Greenwich libraries can be ordered using an Inter-Libraries Request Form. We will contact you on your university e-mail address when the article is available to collect from the welcome desk.

Renewals

Renewals can be made online through My Account. Alternatively you can renew items using the self-service machines in the library. Exceptions are inter-library loans from the British Library (which must be renewed in person at the welcome desk), items borrowed in person from your Canterbury home institution library (renew through your home institution’s library catalogue) or items borrowed through our inter-university loan scheme (which need to be renewed in person at the welcome desk).

Electronic resources

A range of electronic resources (including e-books, e-journals and databases) are available for you and your students. They are accessible via the staff portal for Greenwich staff and through your home institution’s library web pages for Kent and CCCU staff. Please contact your academic support librarian for further details and training. Further information about resources available, including e-resources can also be found in our subject guides.

Inter-university loans from Templeman and Augustine House libraries (UoK and CCCU staff only)

UoK and CCCU staff are also provided with a library account at their home institution library in Canterbury. This library account is completely separate from your Drill Hall account. You can borrow items from your home library in person using your UoK or CCCU account or alternatively use our inter-university loan scheme to have the item sent to the Drill Hall for you to collect. To borrow books and journal articles using this service, you will need to complete an Inter-Libraries Request Form. We will notify you on your university e-mail when the item you have ordered has arrived and is ready for collection from the welcome desk. Please note that items borrowed in this way can only be renewed in person at the welcome desk or by telephone on 01634 883278. They must be returned to the welcome desk.

Photocopying

There are four photocopiers in the Drill Hall, which are operated using a photocopier card (or Flexicard). Please abide by the copyright legislation displayed by each photocopier or ask a member of the library staff for guidance.

Personal photocopying

Cards can be obtained from the vending machine in the Group Zone for 50p (non-refundable) and you can add credit at the vending machine. We advise against loading large amounts of money on the card in case of loss or damage.

Departmental photocopying

Pre-charged photocopying cards are held at the reception desk for departmental use and are internally recharged to the relevant school or department.

Photocopying charges

Photocopies are charged at: 5p per A4 side (black and white); 10p per A3 side (black and white); 20p per A4 side (colour); and 40p per A3 side (colour).

Heat binding/laminating

Personal heat binding/laminating

You can heat bind your project work or documents using our machines. Clear plastic folders are available for purchase at the welcome desk at a charge of £1.25 each. Instructions are available by the heat binding machines. Laminating is available on request at the welcome desk at a charge of 50p per sheet.

Departmental heat binding/laminating

The cost of heat binding/laminating for school or departmental use is subject to internal recharge, however some schools require prior authorisation so please check with your department before you start. You will be asked to sign at the welcome desk for the cost of the materials you use.

Video-conferencing facilities

Supporting your teaching and research

The Drill Hall Library (the Drill Hall) relies on its links with academic staff to:

  • help build and maintain a collection and to ensure that we provide information skills training appropriate to the teaching and research currently taking place within the Universities at Medway ; and
  • enable students and staff to obtain maximum benefit from the Drill Hall and the services that we provide.

Your contacts in the library

Your key contact in the library is your academic support librarian (ASL) who is responsible for library services to your department. Each ASL is supported by an academic support assistant.

Academic support services: how we support your teaching and research needs

What we can do for you

The library offers a variety of services aimed at supporting your teaching and research needs.

  • Library inductions and tours for new students. Contact your ASL to arrange.
  • Library inductions and tours for new and existing staff. We offer an induction tour, introduction to your subject librarian and an introduction to library resources, including e-resources. Contact your ASL to arrange.
  • Reading list checking and book ordering service. Purchase of specific resources to support your students’ learning (books, journals, training/educational DVDs, training manuals, databases, electronic materials etc).
  • Library skills workshops are available on request for all students, including postgraduates. Workshops can be tailored to your requirements and time-frames, however examples of what we can offer include:
    • library research skills;
    • using e-journals;
    • using the internet for research;
    • subject-specific database training, such as EBSCO Host, JSTOR, Westlaw, Lexis Nexis, Butterworths, Social Care Online, IEEE and Science Direct;
    • finding statistical information; and
    • research sessions prior to student assessment deadlines.

If you would like us to provide library skills training for your students please contact your ASL.

IT skills training – one-to-one sessions available on:

  • MS PowerPoint;
  • MS Excel; and
  • MS Word.

For IT skills booking arrangements please advise your students to email the IT training team or ask at the Student Support Zone.

  • The Student Support Zone gives students the opportunity to get one-to-one research support from our duty ASL.
  • Our online subject guides provide subject-specific information for your students on selected resources available from the Drill Hall and other reputable agencies and organisations.
  • Library representation at your school/departmental meetings to discuss any issues relating to the library and to keep you up-to-date with what is available to support your research and students’ learning.
  • Work with you to support course development and ensure that collections of relevant and up-to-date resources are maintained for you and your students.
  • User Group: the Drill Hall holds a User Group meeting once a term. Membership includes academic staff, students and UMSA representatives. It is a forum for users of the Drill Hall to discuss developments and services with senior Library and Information Services managers from the Universities at Medway partner institutions. If you would like to find out more about any of the services the library provides, please contact your ASL.

What you can do for us

  • Help make sure your recommended books are in the Library. Please send your module guides to your ASL as soon as possible. Your librarian will check them and arrange for any items not already in the library to be ordered if available. We will also add your reading list to the catalogue.
  • Involve us in your students’ learning by inviting us to deliver induction tours and training sessions on library and information retrieval skills.
  • Invite us to your meetings so we can discuss any library issues and keep you up-to-date with new developments.
  • Promote our IT skills training sessions to your students.
  • Come to our briefings and training sessions on new services and facilities.
  • Consult with your ASL at an early stage in the planning of new modules and programmes.
  • Poster printing. If you plan to set an assignment that requires your students to produce a poster, please see our poster printing guide for details of the procedure that you will need to follow; and also for details of poster training workshops, templates and help.

Digital copying/scanning services

Academic staff will need to use the digital copying/scanning services provided by their home institution.

Video-conferencing facilities

Video-conferencing offers a real-time interactive link between one or more remote sites, either in the UK or overseas. It is a real alternative to jumping in your car and driving to a meeting.

We have a dedicated video-conferencing suite in the library (DC017), which is suitable for interviews, teaching, seminars and business meetings.

The facility is free to all Universities at Medway staff and students conducting university business.

We prefer to link to sites using IP connectivity but ISDN link ups and Skype can be arranged.

At present this facility is not available for external hire.

Equipment and facilities

The room is fitted with a Tandberg Edge 95 MXP High Definition video-conferencing unit capable of connecting up to four sites. There are two 52-inch widescreen displays situated at one end of the room that show the remote site(s) and can also be used for displaying presentations.

The room can be arranged for a variety of seating needs, such as one-to-one, interview panel and seminar-style. Maximum occupancy is 25 people sitting, no tables.

There is a table-mounted microphone and a remote control unit.

Similar facilities exist at the University of Kent and University of Greenwich. Sessions linking the Drill Hall with either or both institutions can easily be arranged.

Using the equipment

You do not need to be technically minded to use the room.

Your event will be facilitated by a member of staff who will run through the basics and ensure that you have connected successfully before leaving.

Teaching via video-conferencing requires a greater understanding, so we suggest you discuss your requirements and expectations with us beforehand.

Booking

The suite is available Monday to Friday 09:00 to 17:00 hours; other times are available by prior arrangement.

University of Greenwich staff should book the room using the Web Room Booking form on the portal. For any other bookings or enquiries, email the IT team or telephone 01634 883764.

We prefer bookings to be arranged at least seven days in advance. Once we have confirmed your booking we will need the following information.

  • Contact details for each site (name, email and phone number).
  • IP address at each site.
  • Name of each organisation/person participating.
  • Number of participants.
  • Room layout and facilities required.

Where possible we will organise a test link prior to your session.

Please be aware that not all equipment is compatible and that quality may vary.
